Information we collect

When you submit our contact form, we collect your first and last name, email address and company name. We also collect the enquiry reason and message when you provide them. Phone number and industry are optional. We also store a submission identifier, submission times and email delivery status. Hosting and email providers may process technical information such as IP addresses, request logs and delivery records.

Why we use your information

We use enquiries to respond to your request and discuss SmartCo software, demonstrations or a potential business relationship. Depending on the request, the basis is taking steps towards a contract or our legitimate interest in responding to business enquiries. Security and abuse prevention support our legitimate interest in protecting the website. Optional analytics is based on your consent. Required form fields are needed to process the online enquiry; you may also contact us by email. We do not currently use contact-form addresses for newsletters or promotional campaigns. Submitting an enquiry does not subscribe you to marketing.

Analytics and browser storage

Google Analytics 4 is loaded only after you accept analytics. It measures page visits, download clicks and successful contact submissions, together with browser, device and approximate location information. Our custom events do not include your form answers. A download click does not confirm that a download completed. You can reject analytics and still use the site, contact form and downloads. Use Analytics preferences at the bottom of the page to change your choice or withdraw consent. Withdrawal does not undo earlier lawful processing. Your browser also stores your analytics choice and theme preference.

Service providers

Our website uses Render for hosting, MongoDB Atlas for enquiry storage, Brevo for notification email delivery, Microsoft 365 for business email and Google Analytics for optional usage measurement. These providers process the information needed for their respective services. Our contact-form backend runs in the United States, and our enquiry database is hosted in Germany. Other provider operations, including email, analytics, support and delivery infrastructure, may involve additional countries. These locations do not mean that all processing is restricted to those two countries.

How long information is kept

Our retention policy for enquiries that do not lead to a business relationship is 12 months from the last communication, after which we delete the enquiry from our database and business email. Records that become part of a business relationship are handled separately according to their purpose and applicable record-keeping obligations. Google Analytics is configured with event-data retention of 2 months and user-data retention of 14 months. These settings do not set the lifetime of standard aggregated reports. Technical logs, email delivery records and backup copies may have separate retention periods from active enquiry records. Changing analytics preferences stops future analytics collection; it does not automatically delete enquiry records or previously collected analytics data.

Your choices and rights

Depending on applicable law, you may request access to your personal data, correction, deletion, restriction or portability, and object to processing based on legitimate interests. Rights may be subject to legal conditions. Contact us using the email below; we may need to verify your identity. You may also complain to the Personal Data Protection Agency in Bosnia and Herzegovina or another competent supervisory authority.

Links to external websites, including Google Maps, are governed by those services’ privacy practices when opened. This notice covers the Herc Control website and enquiries. It does not describe any separate data processing performed by the downloaded SmartCo application.
